Administrative Assistant

Dominican University of California is seeking a dynamic individual for an Administrative Assistant position in Student Life. This position serves as receptionist, customer service specialist, and general administrative assistant. In addition to providing customer service to students, families, and guests of the University, this position will also assist the Dean of Students with calendar management/appointment scheduling and specific administrative duties. Given the high level of interaction with students and the University community, this position requires professional demeanor, excellent speech clarity, grammar and confidentiality.

Responsibilities

  • Serves as receptionist, receiving and directing incoming calls, students and visitors to the various personnel within Student Life
  • Provides students, faculty, staff, and visitor general information about the department, and directs students to other departments as required
  • Assists members of the Student Life Staff with programs, activities, and events
  • Supports the department with beginning and end of the semester transition processes
  • Provides administrative support to Office of Student Life (filling, copying, mailings, etc.)
  • Provides administrative support to the Dean of Students
  • Updates and disseminates departmental information (ex: website and University intranet page)
  • Takes direction from Dean of Students in processing budget information and expense reports (including invoices and monthly reports)
  • Assists with staffing departmental and committee meetings
  • Orders and maintains office supplies and equipment
  • Performs other duties as assigned 

Required Qualifications

  • Bachelor's degree or equivalent
  • Minimum three years office experience 
  • Proficient in Microsoft Office Suite
  • Proficient in database systems or CRM modules
  • Proficient with e-mail and calendar management 
  • Strong verbal and written communication skills
  • Demonstrated strong organizational skills
  • Must possess the ability to learn and perform all essential job functions accurately with minimal supervision
  • Must perform with confidentiality, diplomacy and tact
  • Strong customer service orientation; able to manage difficult or emotional student situations; responds promptly to customer needs; responds to requests for service and assistance 
  • Strong quantitative skills; able to track information and maintain spreadsheets

Additional Position Information
